UK: Allocate secures largest Danish municipality to date

Exclusive partnership with EG delivers Esbjerg Municipality win

Richmond, London: 18th May 2020: Esbjerg Municipality, the fifth largest municipality in Denmark and the fifth largest city in the country, has selected Allocate’s e-Rostering software. Esbjerg will use Optima which is provided by EG, its existing payroll and IT provider. EG partners with Allocate in Denmark and delivers Allocate’s Optima products as part of EG’s EG Optima solution.

The interoperability between EG’s payroll software and Allocate’s e-Rostering software will enable full automation of Esbjerg Municipality’s scheduling and payroll for all healthcare staff to deliver substantial time and cost savings across its entire substantive and temporary staffing population. The solution will provide scheduling for community healthcare workers, helping the municipality to compile fully costed, real-time rosters ensuring budgets are adhered to and the right skills are in place where they are needed.

“After thoroughly researching the market, we came to the conclusion that the solution with EG Payroll and EG Optima best meets our needs,” says Staff and Development Manager Birgitte Stenderup, Esbjerg Municipality.

“Esbjerg Municipality has a reliable solution that supports our business processes and which the employees are happy with. In addition, we are looking at a number of improved opportunities in connection with rostering, where we expect an efficiency improvement that can help with further support of our business processes. “

In addition to EG Optima, Esbjerg Municipality will also deploy Optima Medarbejder and Optima Afløser. Optima Medarbejder is Allocate’s mobile app which allows healthcare staff to manage and book work at their own convenience, making it easy to swap shifts, secure leave and manage timesheets. Optima Afløser is a temporary staffing module which will help roster appropriately skilled staff from the organisation’s temporary workforce.

With 12,000 staff, Esbjerg Municipality is Allocate’s largest municipality win in Denmark, and represents the firm’s fifth municipality to be secured since December 2019.

EG and Allocate’s exclusive reseller partnership enables both organisations to work together to quickly and efficiently mobilise and deliver interoperable payroll and rostering capabilities to Denmark’s municipalities. The EG Optima solution manages and automates staff scheduling and streamlines resource utilisation in municipalities as well as the regions and the institutions themselves.

EG Optima is based on the UK’s proven Allocate Optima system, which is used by more than 800,000 users globally in public hospitals, municipalities and institutions.

UK: Allocate opens up absence tracking to support the COVID-19 response with NHS organisations adding over 57,000 new healthcare professionals to HealthRoster in a matter of weeks

Live absence tracking data helps reveal the true picture of COVID-19 impact on staff availability

4th May 2020, UK – NHS organisations across the UK have added over 57,000 new staff to Allocate’s HealthRoster workforce technology platform after the company opened up free absence tracking to help provide better visibility of COVID-19 absence and to support automated centralised daily absence reporting to NHS England. The system, which already records the absence of over one million health and care workers as part of its core rostering functionality, is the largest source of daily operational absence data across the NHS.

Allocate were asked to support NHS England and NHS Trusts by quickly developing automated centralised daily reporting on absence. This was created in days and since late March NHS organisations absence data has been shared directly with NHS England and NHS Improvement.

Allocate’s solutions provide the most extensively used and timely source of NHS absence data. Fully interoperable with the Electronic Staff Record (ESR) and SAP, data from Allocate feeds the UK’s national systems for payroll. Allocate’s solutions have typically tracked the absence of only those staff who are electronically rostered. Absence data for non-rostered staff has often been collected manually or in other ad hoc systems, or even in spreadsheets. This had made it difficult to gain an accurate, timely view of all staff locally; and made daily reporting to national bodies admin intensive.

The ability to add additional staff free of charge for six months enables NHS organisations to record absence for all staff groups. Accurately recording absence will continue to be one of the most vital functions for healthcare organisations as they respond to COVID-19 over the coming months. NHS organisations that moved to recording staff absence in HealthRoster gained immediate visibility of the COVID-19 impact on staff availability. Combined with the automated reporting this also provides NHS England with a bigger picture of data across provider organisations. Since opening up the system seven weeks ago 12% of the additional 57,000 staff have recorded that they are unavailable for work, providing local health services with much needed timely information on staff absence.

Hello from our team in Harrogate

Colleagues from our Dynama business as well as some familiar Allocate faces are all onsite in Harrogate supporting our customers who are ensuring the region has additional capacity as part of its COVID-19 response. In Harrogate the convention centre is been converted into a hospital that could provide care for an additional 500 people if needed. The team is also working in the North East.

It is truly remarkable to see what local NHS teams can achieve so quickly. We have seen so many positive examples of teamwork and partnership working both in the Nightingale Hospitals and in the NHS Trusts we serve. Simply amazing!

UK: The North West Nightingale Hospital is live with HealthRoster Optima in just 11 days

Today the hospital welcomed its first staff on shift, each member of staff have access to their rosters on their phones via Allocate. Since Sunday 5th April our teams have been busy on-site in Manchester supporting the deployment of HealthRoster Optmia, including SafeCare, at the North West Nightingale Hospital.

NHS Nightingale Hospital North West is part of the regional preparations to Covid-19 and has the ability to scale to 750 beds.

It has been an honour to work alongside so many committed colleagues from Greater Manchester Health and Social Care Trust, Manchester Foundation Trust, NHS Professionals and EY and to get positive feedback about our contribution from the NHS teams

Announcing the sad passing of Hugh Ashley

It is with great sadness that we share news that Hugh Ashley, MD UK & Ireland passed away on the 31st March 2020, following a short illness over recent months. Hugh was a much respected and loved member of the Allocate family who will be truly missed by us all.

Hugh joined us when Allocate acquired Dynamic Change, a business he founded together with Mil Milojevic, 20 years ago this month. Dynamic Change was one of the first healthcare SaaS organisations in the UK.  Within Allocate Hugh ran the Global Services division for a number of years, then in 2015 he became MD of UK and Ireland. Throughout the past twenty years Hugh was completely dedicated to serving our customers, delivering the best customer experience and making a difference to healthcare. It is from this foundation that his passion, drive and leadership has taken the UK&I business from strength to strength. As an exceptional mentor he leaves our business a remarkable legacy, Hugh believed in supporting people to be the very best they can be and he invested time and effort helping many of our team members to pursue their ambitions.

There are many positive lessons in how fully Hugh lived his life and indeed his real legacy is his family. He loved nothing more than the time he spent with his wife and two sons. Our thoughts are with Karen, Rory and Finn at this sad time.

A book of condolence is available for anyone wishing to send a message to Hugh’s family.

We understand the impact COVID-19 is having or is likely to have on our customers. In a period where there is likely to be increased staff sickness and extra demand for services we want to support you to ensure the software is helping monitor and deploy people as safely as possible. In order to support you below is an update on our plans to provide guidance and help.

Supporting Customers

  • We have set up a monitored generic email address which will be our single point of contact for communications, updates, briefings and FAQs. Please use this contact point should you have any questions
  • We are creating a guidance document that will be shared on Monday 9th March. This document will outline tips that will help customers use our technology to prepare for potential increase in sickness and absences and increased need for employee communications
  • In addition, we will be running a webinar that will demonstrate key tasks that can be undertaken in the software to help deployment, tracking and reporting. Please click here to register
  • A number of Allocate staff are clinically trained or have worked in other healthcare roles. Where they are able to do so, we will be supporting these staff to step into NHS roles should the service require them during this challenging period

Allocate Preparedness

We have a full business continuity plan (BCP) that is designed to ensure we maintain business services throughout. We are also focused on ensuring we look after the well-being of our staff. We are following national advice during this time and our BCP Committee is reviewing this advice daily and acting accordingly.
